The company

A London-based firm of English solicitors and European business lawyers specialising in international work across northern Europe.

The IT challenge

Lawyers' work requires them to have access to email, client management systems and files at all times. 

They need to be able to work seamlessly from office and home computers and from laptops and mobile devices when travelling, with work done on one computer immediately reflected across all other devices in real time. They also need to be able to work collaboratively with colleagues on documents, with changes made by one person immediately available to anyone else without version control problems.

And all this must be highly secure, as they are dealing with commercially sensitive and private information.

In the past, these demands were problematic...

People working on email across multiple devices found that messages sent from one were not visible on another, messages marked as 'read' on one were 'unread' on another, and they had to repeat the same deleting and filing tasks on each device.

Getting access to documents from home or when travelling with laptops was tricky or impossible, and computers in hotel business centres often lack the necessary software. 

The Conosco solution

To meet their email and shared calendaring needs, Conosco set up a Microsoft Exchange Server to provide genuine synchronisation of email, calendars and contacts across all devices, ensuring that any action taken on one device is replicated in real time across all the others. Not only does this work with multiple computers in different locations, both Mac and PC, but also with all smartphones including Windows Mobile, Blackberry, iPhone.

Exchange also provides seamless group calendaring, allowing (for instance) their London office to organise meetings between local and Copenhagen staff and book meeting spaces in either location.

To solve the problem of working from any computer in any location, Conosco set up a system that gives staff access to all their office files and programs as if they were sitting in their office in front of their computer - Microsoft Terminal Services. This avoids the speed limitations and unreliability of using a traditional VPN, and the complexity of filesharing systems that require you to download files, work on them and then upload them again.
